The Role This role offers hybrid working, requiring 3 days per week in the office. The Project Coordinator in Global Program Management Office (GPMO) is responsible for efficiently managing and organizing GPM project-related documents ensuring easy accessibility and maintaining high quality standards. The Project Coordinator will oversee various activities within GPM, including training and program-specific knowledge levels, timesheet reporting, and enhancing document management processes to improve efficiency and productivity. The Administrative Assistant for SPPO provides administrative assistance to Program Management, Development Learning and Data & Digital, such as helping to schedule meetings, booking meeting rooms, arranging travel, and processing expense reports. This role is crucial in maintaining smooth project operations and facilitating effective communication and collaboration within the SPPO community.

About the Role

Key Accountabilities:

Project Coordinator in GPMO (70%)

Key Responsibilities will include:

  • Maintain a centralized repository of project-related documents including, but not limited to, Global Pro-gram Team (GPT) minutes, one-pagers and TPP+, ensuring they are up-to-date and easily accessible.
  • Ensure that GPT members have access to the latest information and resources, enabling them to make informed decisions and meet project milestones.
  • Check the quality and accuracy of project-related documents through thorough review and verification processes.
  • Utilize document management systems such as SharePoint to streamline document organization and retrieval, and train users to improve efficiency and productivity.
  • Enhance the document management processes by organizing documents in a logical and systematic manner and using clear and consistent naming conventions.
  • Follow up on timesheet reports to accurately track project hours and resource allocation.
  • Oversee GPM training and knowledge levels to enhance the skills and capabilities of team members throughout the program lifecycle.
  • Support and participate in GPM strategic initiatives.
  • Foster a culture of continuous learning and development within the PMO team, organizing training sessions and workshops to enhance program management skills.
  • Establish and maintain strong relationships with stakeholders, ensuring effective communication and alignment across the PM community.

Administrative Assistant for SPPO (30%)

Key Responsibilities will include:

  • Provide administrative assistance to the project team, such as helping to schedule meetings, booking meeting rooms, arranging travel, and processing expense reports.
  • Handle the purchase orders and invoices for project team
  • Update and submits REFs requests for new hires, contractors and interns

Your experience:

  • A Bachelors degree in the field of administration, equalled with at least 3-5 years of experience in a similar role (administrative responsibilities equalled with project management)
  • Previous experience in project coordination and/or document management, demonstrating a solid understanding of program management methodologies and best practices.
  • Excellent organizational skills with a keen attention to detail.
  • Strong problem-solving skills to ensure proper version control, manage access rights, and find efficient ways to retrieve information.
  • Ability to identify the most suitable document management system, streamline processes, and effectively troubleshoot any technical or logistical challenges that arise.
  • Proficiency in providing ongoing training and development to associates and teams, ensuring they continuously acquire and enhance the required skills and knowledge.
  • Strong interpersonal and communication skills, with the ability to build and maintain relationships with stakeholders at all levels.
  • Highly organized and results-oriented, with exceptional time management skills, prioritization abilities, and self-management.

Novartis Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between $102,400 to $153,600; however, while salary ranges are effective from 1/1/24 through 12/31/24, fluctuations in the job market may necessitate adjustments to pay ranges during this period. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
