About the Role

Key Responsibilities:

  • Provide administrative assistance to GPM, Development Learning and Process Innovation, such as helping to schedule and organizing meetings, booking meeting rooms, arranging travel, and processing expense reports.
  • Handle the purchase orders (POs) and invoices for the groups mentioned above.
  • Update and submit Real Estate and Facility Services (REFS) requests for new hires, contractors and interns.
  • Maintain a centralized repository of project-related documents including, but not limited to, Global Program Team (GPT) minutes, Project One-pagers and Target Product Profile (TPP+), ensuring they are up-to-date, properly catalogued, and easily accessible.
  • Ensure that GPT members have access to the latest information and training resources, enabling them to make informed decisions and meet project milestones.
  • Check the quality and accuracy of project-related documents through thorough review and verification processes.
  • Utilize document management systems such as SharePoint to streamline document organization and retrieval, as well as train users to improve efficiency and productivity.
  • Assign relevant Standard Operating Procedure (SOPs) to new team members.
  • Enhance the document management processes by organizing documents in a logical and systematic manner and using clear and consistent naming conventions.
  • Follow up on timesheet reports to accurately track project hours and resource allocation.
  • Provide support to track yearly budget and spending of GPM.


Role Requirements:

Essential Requirements:

  • A Bachelor’s degree in the field of administration, equaled with at least 3-5 years of experience in a similar role (administrative responsibilities equaled with project management)
  • High level of professionalism, with experience in cross cultural environment
  • Fluent English (both written and oral)
  • Excellent communication skills and collaborative mindset
  • Enthusiastic and very well organized, with attention to detail
  • Proactive mindset and ability to work independently
  • Ability to navigate and interact with senior stakeholders
